Office Receptionist

REPORTS TO: Office Manager
COMPENSATION: $12.50-$16.00/hr depending on experience
Purpose:
The purpose of this document is to communicate the expectations of the Bromley East Receptionist in regards to the assigned job responsibilities; achievement of these expectations will directly contribute to the school’s successful achievement of its mission and objectives. Further, these expectations provide the basis of the employee’s performance evaluations.
High-Level Responsibilities:
The Receptionist is expected to:
- Answer telephone system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages (30%)
- Oversee the student attendance process (20%)
- Greets individuals entering the building (e.g. visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries; and/or directing individuals to appropriate location in accordance with established building security procedures (30%)
- Receives a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties (5%)
- Maintain reception area materials (e.g. job applications, newsletters, event calendars, etc.) for the purpose of providing resource information to visitors (5%)
- Assist in maintaining student records (5%)
- Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations (5%)
Performance Review Process:
Informal performance evaluations may occur quarterly and the final formal year-end evaluation will take place prior to June 15 or at the end of that contract period.
Expectations:
This section defines the specific objectives within each area of high-level responsibility and identifies expected dates of completion and regular reporting of progress.
- Answer telephone system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages (30%)
- Be the first to answer phones in a prompt, professional and courteous manner
- Problem solve to answer parent questions thoroughly
- Oversee the student attendance process including record-keeping and tracking of student tardies and absences (20%)
- Input student attendance on a daily basis in a timely manner
- Check attendance line each morning for excused absence information
- Gather data from teachers regarding student attendance to be inputted into Infinite Campus
- Make appropriate phone calls as needed for students who have not been excused
- Greets individuals entering the building (e.g. visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries; and/or directing individuals to appropriate location in accordance with established building security procedures (30%)
- Greet visitors in a prompt, friendly and professional manner
- Problem solve to answer visitor questions
- Check in visitors and guests using the school screening system
- Receives a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties (5%)
- Receive packages and deliveries and assist with purchase order check-in
- Assist with distribution of received items to include paperwork distribution
- Maintain reception area materials (e.g. job applications, newsletters, event calendars, etc.) for the purpose of providing resource information to visitors (5%)
- Maintain reception area appearance to ensure professional, clean and clutter-free environment
- Ensure that literature is available for visitors and prospective parents
- Assist in maintaining student records (5%)
- Assist front office in maintaining student records in Infinite Campus as needed
- Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations (5%)
- Support the athletic department by completing student athletic registrations, sports rosters and sport schedules.
- Support and assist front office and administration with various projects
- Use a variety of software to produce high quality documents and forms as needed
- Assist front office with Friday folder copying and distribution
- Assist front office with maintaining workroom cleanliness and supplies
Position may also be required to perform other duties as assigned.
MINIMUM EDUCATION, TRAINING AND EXPERIENCE
- High school diploma or equivalent.
- Some college classes a plus, but not required.
- Experience in working with elementary/middle school aged student, specifically in an office or health office setting preferred.
