Position Description: Executive Assistant
School Year: Remainder of the 2018/2019 School Year
REPORTS TO: Executive Director
SUMMARY: Provide overall office management as well as administrative support. Serve as the public relations liaison between the admin team, staff, students, parents, public, and community. Support Board of Directors with use of Board Docs and monthly Board Meetings as needed.
Salary Range: $35,000 - $55,000
Contract Days: 209
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Act as first point of contact for Administration.
- Familiarity with Board Docs, or willingness to be trained in use of this software.
- Public relations liaison for school office by screening calls and visitors.
- Support Administration with event coordination.
- Management of building calendars and requests.
- Provide administrative support to administration team, including composing and typing letters and reports; producing weekly parent and staff newsletters, opening, reading and distributing mail. Keep administration aware of important issues and dates.
- Update marquee weekly with current and future school information.
- Send out dialers (including emergency dialers).
- Help manage Google Drive for School.
- Update App in keeping with changes to website.
- Manage admin team’s calendar, including coordinating meetings, appointments, and emergency situations. This includes planning meetings, observations, and classroom walkthroughs.
- Work with Human Resource Coordinator to hire and train office personnel. Train, supervise, and assist in the evaluation of office staff that are direct reports.
- Respond to inquiries for clarification or interpretation of spoken or written communications, sharing relevant background information to assist in making appropriate decisions. Initiate action, exercise judgment, or provide direction to others as appropriate.
- Assist in PD preparation and setup, along with coordinating associated purchases.
Supports Board of Directors and ED with preparation and setup for board meetings.
- Respond to inquiries from public on a wide variety of issues such as academic programs, school calendar, Board procedures, school policies, or facilities.
- Coordinate the opening of the school by supplying orientation packets for all staff and by updating the Student Handbook.
- Provide front desk and attendance coverage as needed.
- Respond and evaluate injuries and illness in emergency situations following First Aid and CPR procedures in accordance with school policies.
- As soon as safely possible notify or cause notification of School Registered Nurse and building administrator of all emergency situations. When activating emergency 911 medical systems according to American Red Cross Guidelines notify parents.
- Supervise health clinic and health aide as needed including immunizations and hearing/vision screenings.
- Assist with and delegate basic office tasks such as; answering phones, taking messages, greeting visitors, making copies, distributing mail, collating papers, etc. as appropriate.
- Special office projects as needed.
- Coordination of substitute teachers and staff.
- Oversight of accuracy of payroll.
- Perform other duties as assigned.
EDUCATION AND TRAINING: Bachelor’s degree or equivalent. Requisite background in office management, secretarial, word processing, computer, and/or bookkeeping skills.
EXPERIENCE: 2+ years as an Administrative Assistant or equivalent (School experience preferred).
SKILLS, KNOWLEDGE, & EQUIPMENT: Requires strong oral and written communication, as well as solid interpersonal skills. Math, accounting, and word processing skills are requisite. Ability to manage confidentiality in all aspects of job. Ability to maintain multiple priorities; manage multiple tasks with frequent interruptions and willingness to be on call. Ability to self-direct work and projects that may be assigned by administrative team.
CERTIFICATES, LICENSES, & REGISTRATIONS: First Aid and CPR certifications, or willingness to become trained in these areas.
JUDGMENT AND DECISION MAKING: Work associated with the health office is assigned by School Registered Nurse and needs of the school/students. This position requires attention to details, judgement and medical knowledge to determine the severity and urgency of a student’s illness or injury and to take appropriate and timely action. Work is guided by CPR/First Aid guidelines, state hearing and vision guidelines, medical protocol, and District and school policies and procedures. Decision making requires collaboration with School Registered Nurse, teachers, staff, school administrators, and parents.
DIVERSITY OF DUTIES: Duties require cross training in healthcare, basic secretarial skills, strong interpersonal and communication skills, emergency care, ability to work with students with special medical needs, student behavior management, office equipment, nebulizers, catheter, glucose meters, and EPI pens.
PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit; use hand to finger, hand or feel; reach with hands and arms; talk and hear. The employee is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
MENTAL FUNCTIONS: While performing the duties of this job, the employee is regularly required to analyze copy, and evaluate. Frequently required to communicate, coordinate, synthesize, use interpersonal skills, and compile. Occasionally required to compare, instruct, compute and negotiate.
SAFETY TO SELF AND OTHERS: High exposure to illness due to contact with sick or injured students. Medium exposure to self to hernia due to lifting and carrying injured students and to repetitive motion injuries due to keyboarding. May also expose others to injuries if a person in this position fails to properly handle and dispose of bodily fluids, follow appropriate medical protocol, and/or maintain a safe and sanitary clinic. Strong knowledge of universal precautions.
